Connect Koalendar and Zoom to generate a unique Zoom meeting link for each booking.
Invitees will receive the Zoom meeting details in the confirmation notification after scheduling with you.
The Zoom link will appear in your confirmation email, the booking details in your Koalendar dashboard, and on the Google Calendar event (if you have Google Calendar connected).
Adding the app (required)
This section explains how to add (install and authorize) the Koalendar app in Zoom.
Prerequisites
- A Koalendar account
- A Zoom account
- Permission to install apps in your Zoom account (for some organizations, only a Zoom account admin can approve or install apps)
Step by step: install and authorize
- Open the Koalendar listing on the Zoom App Marketplace: Koalendar on the App Marketplace.
- Sign in to Zoom if prompted.
- If your Zoom account requires admin approval, ask your Zoom account admin to approve the Koalendar app for your account.
- If you are a Zoom account admin, locate the Pre-Approve toggle on the app listing and enable it (recommended for managed accounts).
- Click Install and review the requested permissions.
- Complete the install flow, then click Visit Site to Install to return to Koalendar.
- In Koalendar, finalize the connection when prompted. Koalendar will request Zoom authorization and store an access token so it can create Zoom meetings for your bookings.
After you complete these steps, you can start using Zoom as a booking location in Koalendar. If you run into issues, see the troubleshooting guide in the next section.

Use case
When someone books time with you through Koalendar, Koalendar creates a Zoom meeting for that booking and attaches the unique Zoom meeting details to the booking.
Prerequisites
- The Koalendar app is installed in Zoom and authorized
- Your Koalendar account is connected to Zoom
How to use
- In Koalendar, open the event type you want to offer.
- Set the event location to Zoom.
- Save your changes.
When an invitee books the event, Koalendar generates a unique Zoom link for that meeting.
Where the Zoom link appears
- In the confirmation email sent to you
- In the booking details in your Koalendar dashboard
- In the Google Calendar event, if you have Google Calendar connected
Rescheduling and cancellations
- If a booking is rescheduled or cancelled in Koalendar, Koalendar will attempt to update the associated Zoom meeting when possible.
- If you change meeting details directly in Zoom, Koalendar may not reflect those manual changes.
Troubleshooting
I cannot install the app
- Make sure you are signed in to the correct Zoom account.
- If you see messaging about approval, your organization may require a Zoom account admin to approve the app. Ask your admin to enable the app (and optionally enable Pre-Approve) from the Koalendar listing in the Zoom App Marketplace.
I installed the app, but Koalendar is not connected
- Return to the Zoom App Marketplace listing and click Visit Site to Install to continue the flow back to Koalendar.
- In Koalendar, open the Zoom integration and confirm you are authorizing the correct Zoom account.
Meetings are not getting a Zoom link
- Confirm the event type location is set to Zoom.
- Confirm your Zoom connection is still active.
- If you recently uninstalled or de-authorized the app, reconnect Zoom to Koalendar and try again.

Removing the app (required)
This section explains how to remove the Koalendar app from your Zoom account and what happens when you do.
What de-authorization means
If you uninstall the app or revoke access, Koalendar will no longer be able to access your Zoom account, which means:
- Koalendar will stop creating new Zoom meeting links for future bookings.
- Koalendar will not be able to update Zoom meetings for reschedules or cancellations.
- Zoom meetings that were already created in your Zoom account will remain in Zoom unless you delete them in Zoom.
How we remove your data
When you de-authorize the Zoom integration, Koalendar removes the stored Zoom authorization data (such as access tokens) that allows Koalendar to call the Zoom API on your behalf. After de-authorization, Koalendar does not access your Zoom account.
Step by step: uninstall in Zoom
- Log in to your Zoom account and navigate to the Zoom App Marketplace.
- Click Manage > Installed Apps, or search for the Koalendar app.
- Click the Koalendar app.
- Click Uninstall.
Optional: disconnect from Koalendar
If Koalendar provides an in-app disconnect option, you can also disconnect Zoom from within your Koalendar account settings. This is useful if you want to revoke access without uninstalling the marketplace app.
