Below is a Q&A session we had with Magdalena to learn more about her experience with Koalendar.

Can you tell me what you do and where you work?
“I’m the Development Director at IPS Wroclaw, it’s a private K-12 school. I’m basically in charge of administrative tasks like arranging the parent-teacher conferences and enrollment meetings and bringing new ideas into the school.”
What challenges were you facing before you started using a scheduling software?
“The biggest problem I faced was having to reach so many users on both sides. We were having the parents come in and physically sign up for the parent-teacher conferences, which led to double bookings and parents forgetting when they were supposed to come in. I would describe it as an inefficient nightmare.”
Why did you decide to use Koalendar and not another option?
“We were looking at a lot of platforms and we were trying to merge a lot of platforms. So, I started testing Kaolendar as just another platform and I didn't have high hopes. Once I started creating booking pages, it turned out to be so easy and intuitive that I decided to give it a try with single parent meetings. Then I thought this might be something that could work for our big conferences, gave it a try, and it worked great!”
What was the setup like? And did you integrate any other software with Koalendar?
“Yes, we use Google for Education and the setup was very easy. We had some small problems, but with the help of the Koealndar support team, they were solved immediately. Like literally, Koalendar support was one step ahead of me. Being the administrator for all the accounts in the organization, everything was straightforward to set up and It’s really easy to create new booking pages.”
What feature does your department love the most?
“The option for parents to choose the location of the meeting is a super important feature. We let parents select between Google Meets and our different campuses. Also, just how easy it is for parents and staff to book with. If you use a tool that's too time-consuming or difficult, the parents will just not use it. They will call you, they will come to the school, or they will start sending emails. And this is exactly what we do not want, right?”
Did you notice any measurable results after starting to use Koalendar?
“We’ve honestly had quite a few. First off our teachers are probably saving 10 hours each per parent-teacher conference, which is a huge deal. And our attendance rates are up by about 50% because of the reminders, how easy it is to rebook if a parent has to cancel, and we no longer have to deal with double bookings.”
Were there any other results you noticed?
“Yes, actually. Because it’s so easy to use, parents can easily book with all of their children’s teachers. Before Koalendar parents might just meet with the homeroom and Polish teacher, now they’re meeting with all fifteen of their kid’s teachers.”
What has been the most significant benefit for your school and department?
“The booking process between teachers and parents is much more clear. This is really important for us because we really value providing a great experience. Because it’s so much easier for parents to book meetings with every teacher, parents can now get a full picture of how their child is developing and that’s priceless.”
What advice would you give a school or department in a similar position to you?
“I would advise them to try Koalendar. Honestly, nothing that I say will replace just playing with the tool. Open an account and just see how easy it is to create a couple of booking pages for 300 people. It just takes two minutes.”
