Overview

Miners' Nine is a 9-hole golf course that recently expanded its offering with indoor golf simulator bays. Over the winter, the team renovated an old space and turned it into two Trackman simulator bays, giving golfers a way to play and practice indoors when outdoor golf is less active.

When the new simulator experience launched, Miners' Nine needed a booking system that could do more than simply collect reservations. They needed one place where customers could book, the Pro Shop team could see the day’s schedule, and staff could manage in-person bookings or changes without relying on another calendar tool.

Koalendar became that system from day one.

“We just allow Koalendar to do all of it.”

The challenge: Finding booking software that showed real availability

Before launching the TrackMan suites, The Miners’ Nine tested a few booking tools. Their biggest requirement was simple: customers needed to see available times clearly before booking.

That turned out to be harder than expected.

“The other solutions didn’t allow the customer to be able to see the availability,” Adam, Miners’ Nine owner, explained. “They make the customer pick their own availability first and then just tell you that it’s not available.”

For simulator bookings, that created friction. If someone wanted to book a two-hour session, they needed to see which two-hour blocks were open at a glance. Other tools made that process feel clunky.

With two simulator bays to manage, The Miners’ Nine also needed a setup that could handle availability across both spaces without making customers choose manually.

A good simulator booking system had to let customers:

  • see available times clearly
  • book without calling the Pro Shop
  • reserve time across two bays
  • understand what they were booking before confirming

But Miners' Nine also needed something just as important behind the scenes: a system simple enough for the Pro Shop team to use every day without adding more software.

They did not want to build a complicated setup around Google Calendar, Outlook, iCal, or another external calendar. For this use case, they wanted Koalendar itself to be the operational hub.

The solution: One booking page for two simulator bays

The team discovered Koalendar after noticing how another local business was using it to manage bookings.

Koalendar quickly became the right fit. Customers could see open times before booking, choose the session length they wanted, and reserve a TrackMan suite directly from The Miners’ Nine website.

“It was important for our customers to be able to see availability on both [bays] when they’re scheduling,” they said.

Koalendar also made the back-end workflow simple for the Pro Shop team. They keep Koalendar open on the main desktop, check the day’s bookings, and add in-person reservations when needed.

“We just have Koalendar up on our desktop in the Pro Shop and on the back end we can just see all the bookings and we know what to expect for the day.”

That one screen gives the team the visibility they need:

  • who is coming in
  • which simulator times are booked
  • what is still available
  • when a customer needs to be added manually
  • how the day is shaping up

There is no separate calendar to check. No extra scheduling tool to maintain. No need to sync with Google Calendar or Outlook.

“We didn’t need to sync it to something else.”

The outcome: Simple booking for customers, easy management for the team

For The Miners’ Nine, Koalendar worked because it did exactly what they needed without overcomplicating the process.

“Koalendar is remarkably smooth, easy to implement and use to manage online and in-person bookings.”

Adam Holroyd

General Manager

The Pro Shop team can manage online and in-person bookings from one place. If someone walks in and wants to reserve a simulator bay, staff can add the booking from the admin side and make sure the customer gets the right email notifications.

“If somebody comes in and wants to make a booking in person, we just go on Koalendar quick on the back end and put the booking in for them,” they said.

The biggest win is the customer experience. Instead of guessing times and hitting dead ends, customers can see availability upfront and book faster.

“With Koalendar, I can see all of the availability at once as a user, and it just makes it so much simpler.”

And for the team, that simplicity is the point.

“It’s about as simple as any software we’ve seen. It just works.”
