Overview

HabitaMedia is a Montreal-based digital marketing agency that helps businesses build their online presence through services like website development, SEO, digital advertising, and social media strategy. The agency works across different sectors and creates custom digital solutions for a range of clients in Quebec.

Melanie Cote, digital strategist at HabitaMedia, helps organizations in Quebec optimize their websites, booking systems, and digital infrastructure.

In this case, HabitaMedia supported a nonprofit client that operates a restaurant, hosts events, rents out spaces, runs children’s summer programming, and works with volunteers.

The organization needed a booking experience that could handle multiple rentable spaces, seasonal schedules, and detailed intake forms without adding more technical overhead.

For the client, the goal was clear: find a more reliable booking system for nonprofits that could replace a fragile WordPress setup and be managed by the team independently.

The challenge: Managing six rental spaces with a broken WordPress setup

For years, the client’s website relied on WordPress and a patchwork of plugins to manage room rentals. That setup became harder and harder to maintain.

The non-profit had six different rentable spaces, each with its own calendar and many exceptions depending on the season, time block, and room availability. What started as a workable setup eventually turned into a fragile one.

From a digital strategy perspective, relying on multiple WordPress plugins creates long-term scalability and security risks. As updates rolled out, plugin conflicts caused issues, and one critical booking plugin stopped working properly. The issue was patched for more than a year without a real fix. Then one day, everything broke.

For Melanie at HabitaMedia, the problem was not just time. It was long-term sustainability.

“Over time, managing multiple WordPress plugins became inefficient and introduced unnecessary risk for the client.”

The client also needed a system that was simple enough to manage without relying on a developer every time something changed. Instead of continuing to deal with WordPress booking plugin issues, HabitaMedia started looking for a scheduling software alternative to WordPress that could support the client’s needs without adding more complexity.

The solution: Replacing WordPress plugins with one booking system the client could manage

Melanie found Koalendar through a colleague who had used it for another client. That recommendation led her to test it right away.

The fit became clear fast.

Koalendar gave HabitaMedia a way to set up one calendar per room, manage different booking rules, collect detailed reservation information, and connect payments through Stripe. Just as important, it could be embedded into the existing website without forcing a full redesign.

That mattered a lot.

The client wanted to keep a long, information-heavy page with room descriptions, pricing, and separate winter and summer schedules. With Koalendar, Melanie could preserve that experience and simply connect the existing “Book now” flow to an embedded scheduling interface.

“The fact that I could keep my design of this page and then just have the button go into Koalendar with the iframe, that was so perfect. We were very happy.”

The built-in forms were another big win. Instead of relying on separate tools, the team could collect everything in one place, including:

  • event details
  • number of adults and children
  • menu selections
  • vegetarian requests
  • setup timing
  • catering timing
  • drink purchases

The setup did include a few tricky moments, especially when transferring ownership and linking calendars, but Koalendar’s support team stepped in when needed and helped get everything working.

“Sometimes the linking of things is a little bit tricky and we needed help from Koalendar, but fortunately we got the support in time.”

The outcome: More peace of mind for both the agency and the client

Today, the nonprofit’s booking flow works smoothly, and the client manages it on their own.

That shift has made a big difference for both sides. Melanie no longer has to deal with ongoing plugin updates, monthly testing, or emergency fixes.

Over time, the gains became noticeable in day-to-day operations.

“I save about 2 hours a month every month for this client.”

But the bigger result is confidence.

The organization is receiving reservations, tracking upcoming bookings, and preparing rooms based on a clear dashboard view. Because bookings continue to come in without complaints or confusion, the team knows the system is doing its job.

“Honestly, I haven’t received any calls, so that’s very good.”

The client especially values having reservations, custom questions, and payments all in one product.

I love the fact that I can have a form and they can fill everything in. That’s very simple. When I was on WordPress, that was another plugin. So it’s wonderful that it’s all within one product. We love that.”

Koalendar also helped address an important operational concern around privacy and security. Since the organization handles customer information, moving away from a plugin-heavy setup and relying on a third-party platform felt safer and easier to manage.

In the end, the biggest benefit went beyond operational improvements.

“Koalendar not only saved us time, more importantly, it gave us peace of mind.”
For HabitaMedia and its client, Koalendar replaced a fragile workaround with a booking system that simply works.
“We’re both more at peace now. We know that we’re not dealing with updates. That’s the main thing.”

Conclusion: A simpler way to manage complex bookings

By switching from a fragile WordPress plugin setup to Koalendar, HabitaMedia helped its nonprofit client turn a complicated booking process into something far easier to manage.

What once required ongoing updates, testing, and technical fixes is now handled through one system the client can use on their own.

For both the agency and the organization, the biggest result is simple: less stress, smoother reservations, and more confidence that everything will keep working.
